Events: Payments
Overview
The Payments section is where you set up and manage the payment schedule for your event. You can choose from several quick setup options, customize amounts and due dates, and track what has been collected. Customers can make payments directly from their proposal once it has been accepted.
Video walkthrough
How to access Payments
Open any event and click Payments in the left-side navigation.
Setting up a payment schedule
To get started, choose one of the four quick setup options:
- Full Amount — one payment for the full event total
- Deposit + Balance — two payments: a deposit and a remaining balance
- 3 Installments — three equal payments
- Custom — build your own payment schedule manually
Once you select an option, the payment rows are created automatically and split evenly to start. You can then adjust each row as needed.
Adjusting payments
For each payment row you can:
- Enter an amount as a dollar value or a percentage — the other will adjust automatically
- Change the due date by clicking the date field and selecting from the calendar
- Toggle Allow Tips on or off for each payment
- Delete a row — the remaining balance will recalculate automatically
If the amounts do not add up to the event total, you will see an error. Adjust the amounts until the full total is accounted for.
Hiding payments from the client
Toggle Hide in the upper right of the Payments section to prevent the payment schedule from appearing in the client-facing proposal. This is useful if you are still negotiating or are not ready to share payment details yet.
When customers can make payments
Customers can make payments from their proposal link once the following conditions are met:
- The proposal status is Accepted or later — payments are not available while the proposal is in Draft, Sent, or Viewed status
- The payment schedule has been published — if there are unpublished changes to the payment schedule, customers will see a message letting them know payments are temporarily unavailable while the schedule is being finalized
If a client contacts you to say they cannot make a payment, check that the proposal has been accepted and that your latest payment schedule has been published.
Recording a payment
Once the proposal has been accepted, customers can pay directly from their proposal link using a card or other available payment methods.
To record a payment made outside the system — for example, by cash or check — use the Collect Payment option from the event actions. The amount collected and the remaining balance will update automatically.
Partial refunds
Partial refunds for events can be processed through the associated order. Contact our support team if you need help with a refund.
Tips
- Build out your order before setting up payments so the total is accurate.
- If the order total changes after payments have been set up, you may need to manually adjust the payment amounts.
- Hide the payment schedule until you are ready to share it with the client.
