Leads and Lead Management in BloomNation POS

Updated

Overview

Leads is where you'll find all the inquiries submitted through your website forms. Each time a customer fills out a form, their submission appears here as a lead. You can track the status of each lead, add internal notes, and take action — all in one place.

This feature is available on select plans. If you don't have access, contact our Partner Support team at getmore@bloomnation.com or (210) 405-5050 to learn more.

How to access Leads

  1. Go to your Point of Sale.
  2. Under Contacts, select Leads.

Go to Leads >>

The Leads table

All form submissions appear in the Leads table. You can filter by Status or Form Type, or search by name or email using the search bar.

The table shows: Status, Contact, Form Type, Email, Phone, and Event Date. Use the Columns button to show or hide columns.

Leads are grouped into three views:

  • Active — leads with a status of New, Contacted, or Follow Up
  • Completed — leads marked as Completed
  • All — every lead regardless of status

View a lead

Click any lead to open the detail view. Here you'll see:

  • All information submitted on the form
  • The date and time the form was submitted
  • The form type
  • A link to the matching customer record, if one exists

If the email address on the form matches an existing customer in your Dashboard, the lead will be automatically linked to that customer's record.

Update a lead's status

Each lead has a status to help you track where things stand. To update it, click the status dropdown on the lead and select a new status.

Available statuses are:

  • New — a fresh submission, not yet acted on
  • Contacted — you've reached out to this person
  • Follow Up — waiting to hear back or need to check in again
  • Completed — the inquiry has been resolved

Add internal notes

In the detail view, use the Internal Notes section to add notes about the lead. Notes are visible only to you and your team — customers never see them.

The Activity log tracks when the form was submitted and any status changes.

Quick actions

From the detail view, you can:

  • Create Order — start a new order linked to this lead
  • Print Lead — print the full submission
  • Delete Lead — remove the lead if it's spam or no longer needed

Manage team access

By default, shop owners have access to Leads. Employees do not have access unless you enable it.

To give an employee access to Leads:

  1. Go to your Dashboard.
  2. Select Employees.
  3. Choose the employee.
  4. Open their Permissions.
  5. Enable Leads.

Go to Employees >>

Tips

  • Update lead statuses as you work through them so nothing falls through the cracks.
  • Use the Form Type filter to focus on a specific type of inquiry, like weddings or corporate orders.
  • Add notes after each interaction so you have a record of where things stand.
