House Account Aging Report

Overview

The House Account Aging Report provides an overview of outstanding balances for your active House Accounts. This report helps you track overdue amounts grouped by days overdue so you can easily monitor and manage collections.

If you extend credit or delayed billing to repeat business clients (such as funeral homes, hotels, or event planners), this report allows you to manage receivables and keep cash flow healthy.

Accessing the Report

  1. Log in to your BloomNation Dashboard.
  2. Open the Analytics tab on the left-hand menu and select the Advanced Reports sub-tab.
  3. In the Sales Reports section, click House Account Aging.

What's Included in the Report

This report displays account balances grouped by how long they’ve been outstanding. At the top of the report, a bar chart summarizes the total outstanding balances for all House Accounts, grouped into the following categories:

  • Current: Amounts not yet overdue.
  • 1–30 Days: Amounts overdue by 1–30 days.
  • 31–60 Days: Amounts overdue by 31–60 days.
  • 61–90 Days: Amounts overdue by 61–90 days.
  • 91+ Days: Amounts overdue by more than 90 days.

Below the summary chart, a detailed table lists each active House Account, sorted in descending order by Total Overdue. The following columns are included:

  • Name: The name of the House Account.
  • Current: Amount not yet overdue.
  • 1–30 Days: Amount overdue by 1–30 days.
  • 31–60 Days: Amount overdue by 31–60 days.
  • 61–90 Days: Amount overdue by 61–90 days.
  • 91+ Days: Amount overdue by 91+ days.
  • Total Overdue: Total amount outstanding for that account.

Only active customers appear in this report. Deleted or inactive accounts will not be shown. The report refreshes approximately every hour to include the latest payments or updates.

Why Use This Report

The House Account Aging Report is a standard accounting tool designed to help you:

  • Identify which customers have overdue balances.
  • Track how long payments have been outstanding.
  • Prioritize collections and follow up with clients who have older overdue amounts.
  • Monitor payment behavior across your recurring customers.
  • Keep your cash flow predictable and consistent.

Tip: Many florists review this report weekly or monthly to determine which accounts to contact for payment reminders or statements.

Understanding Negative or Credit Balances

If you see a negative number (for example, “($250.00)”) in one of the aging columns, it indicates a credit or overpayment. This can happen when:

  • A customer pays early or overpays.
  • A credit memo or adjustment is issued.
  • The system has not yet completed its hourly refresh after a payment is made.

Once payments are reconciled and the system updates, these negative values disappear automatically.

Example:
A hotel client pays $250 for an invoice that was previously overdue. Until the report refreshes, “($250.00)” may appear in the 31–60 day column. Once reconciled, the account balance updates to $0.00.

What Happens When a Balance Is Paid

When a customer pays their outstanding balance:

  • The overdue amount is cleared from the report once payment is processed.
  • The account’s balance updates to zero once all invoices are reconciled.
  • Fully paid accounts will no longer display overdue amounts, only any new current charges (if applicable).
