Managing Ingredients in BloomNation POS

Updated

What are Ingredients?

Ingredients are the building blocks of your recipes. They power recipe costing, shopping lists, and purchase orders.

Keeping your ingredients organized and properly configured ensures accurate pricing, supplier grouping, and purchase quantity calculations.

Before you start

Only users with permission to manage recipes can add, edit, or delete ingredients. Manage your employees and permissions here.

How to access Ingredients

  1. Go to Products in your POS.
  2. Select Ingredients & Markups.
  3. Click Add New to create a new ingredient, or select an existing ingredient to edit.

You can also add a new ingredient directly while editing a product recipe.

Add or edit an ingredient

When editing an ingredient, any changes you make will impact all recipes that use that ingredient.

Ingredient fields explained

  • Ingredient Name – The name of the item (e.g., Rose, Peony, Floral Foam).
  • Category (Optional) – Organize ingredients into categories (e.g., Flowers, Fillers, Vases). Categories can be used for filtering and markups.
  • Recipe Unit (Optional) – The unit used inside recipes (e.g., Stem, Each, Bunch). This determines how quantities are calculated in recipes and shopping lists.

Set costs and purchase units

The Estimated Cost (How you buy it) section controls how ingredient costs and purchase quantities are calculated.

Purchase Unit

Select the unit you purchase this ingredient in (e.g., Bunch, Dozen, Case).

Qty = Recipe Unit(s)

Enter how many recipe units equal one purchase unit.

Example: If you buy roses in bunches of 25 stems:

  • Qty: 25
  • Purchase Unit: Bunch
  • Recipe Unit: Stem

This conversion ratio allows the system to automatically convert recipe quantities into purchase quantities when creating Purchase Orders.

Cost per Purchase Unit

Enter the cost of one purchase unit (for example, $25 per bunch).

The system will automatically calculate the cost per recipe unit for use in recipes and profit calculations.

If no purchase unit or ratio is configured, the system defaults to 1:1 (Each to Each).

Inventory

  • In Stock – Toggle whether this ingredient is currently available.

Additional fields

  • Tags (Optional) – Add descriptive keywords to help with searching and filtering (e.g., red, yellow, premium).
  • Supplier (Optional) – Assign a supplier to this ingredient. This allows you to group items by supplier in Shopping Lists and Purchase Orders.
  • Supplier Product Code (Optional) – Enter the code used by your supplier for this ingredient.
  • Ingredient Notes (Optional) – Add internal notes about this ingredient.
  • Barcode (Optional) – Add a barcode if applicable.

View ingredient usage

At the bottom of the ingredient screen, you will see how many products use this ingredient.

Click View Usage (if available) to see all products that include this ingredient in their recipes.

Edit or delete an ingredient

Edit

Editing an ingredient updates all recipes that use it.

Delete

Deleting an ingredient removes it from your ingredient database.

If you only want to remove an ingredient from a specific product, edit the recipe for that product instead.
