Events: Timeline and Tasks

Updated

Overview

The Timeline section helps you plan and track everything that needs to happen for an event. Add timeline events to share key dates and milestones with your client, and create internal tasks to keep your team organized behind the scenes.

Video walkthrough

How to access the Timeline

Open any event and click Timeline in the left-side navigation.

Event Timeline vs. Internal Tasks

The Timeline section has two parts:

  • Event Timeline — entries that are visible to the client in the proposal. When you add a start or end date to your event, those entries are created automatically. You can add additional entries for things like delivery, setup, or a rehearsal dinner.
  • Internal Tasks — items that are only visible to you and your team. Use tasks to assign work to employees, set due dates, and track progress. Tasks never appear in the client-facing proposal.

All timeline events and tasks are also visible in the Event Calendar, where you can see everything across all your events in one place. Learn more

Adding a timeline event

Click + Add Event to add a new entry to the event timeline. You can enter:

  • Name — e.g. Ceremony, Reception, Delivery
  • Date and Time
  • Guest Count
  • Location / Venue — search for a saved venue or enter an address manually using the Street Address, City, State, and ZIP fields
  • Notes — any additional details for this entry

If you want to use this location as the delivery address for the event's order, check Use this address for the order delivery. By default, your store's address is used for delivery unless you designate a specific event entry. Only one delivery address can be set per event.

If you enter a new venue address, you will have the option to save it to your contacts for future use.

Click Add Event to save. The entry will appear on the timeline and on the mini calendar on the right side of the screen.

Adding a task

Click + Add Task to create an internal task. Tasks are only visible to you and your team — they never appear in the client-facing proposal. You can enter:

  • Name — e.g. Order flowers, Confirm venue
  • Due Date and Due Time
  • Assignee — select an employee to assign the task to
  • Priority — Urgent, high, medium, or low
  • Notes — any additional details for this task

Click Add Task to save. Tasks appear in the Internal Tasks section below the event timeline. Check the checkbox on any task row to mark it as complete.

Filtering the timeline

Use the All, Events, and Tasks tabs at the top to focus on what you need. You can also filter tasks by employee or priority using the dropdowns in the Internal Tasks section.

The mini calendar

The mini calendar on the right side of the screen shows all events and tasks for this event by date. Click any date to see what is scheduled for that day.

Timeline in the customer view

Timeline events appear in the Timeline section of the client-facing proposal. Internal tasks do not. If you do not want the client to see the timeline at all, you can hide or remove the Timeline section in Design Settings. Learn more
