Appointments: Getting Started

Updated

Overview

Appointments lets you add a booking calendar to your website so customers can schedule consultations directly with your shop. You can also use it to book and track appointments internally from your POS. Need access? Contact getmore@bloomnation.com.

Accessing Appointments

In your POS, go to Appointments in the left navigation. You'll see two sections:

  • Calendar — view and manage booked appointments
  • Settings — set up and configure your appointment services

Your default appointment services

When you first get access to Appointments, two services are set up for you automatically:

  • Simple Booking — a general-purpose appointment, 30 minutes, in store
  • Full Wedding Consultation — a wedding appointment, 1 hour, video call

Both are set to Internal only by default, meaning they can be booked from your POS but are not visible to customers on your website. You can edit, publish, or customize either one at any time.

Creating a new appointment service

  1. Go to Appointments > Settings > Services
  2. Click + New Type
  3. Fill in the service details (see below)
  4. Click Save

Service name and type

Give your service a name (e.g., “Sympathy Consultation”). The type categorizes it in your calendar.

Description

Add a description that will appear on the published booking page. Use this to set expectations for the customer — for example, what the appointment covers, how long it will take, or anything you’d like them to prepare or bring. If there’s information you’d like them to provide ahead of time (such as a color palette, event date, or inspiration photos), this is a good place to ask for it.

Duration

Select from the following options: 15, 30, 60, or 90 minutes.

Availability

Choose whether this service follows your default appointment hours or set custom hours for this service only. To set your default hours, go to Appointments > Settings > Availability.

Location

Choose from:

  • In store
  • Phone call
  • Video call
  • Custom — enter an address or any other location details

If you select Video call, note that BloomNation does not provide or generate the video link. You are responsible for sending the customer a link separately after the appointment is booked. Use the Customer instructions field to let them know what to expect.

Customer instructions

This text is included in the confirmation email sent to the customer when they book. Use it to share anything they need to know before the appointment — for example, “We’ll send you a Zoom link one hour before your appointment,” “Please bring inspiration photos to your in-store visit,” or “Come in and ask for [your name] at the front desk.”

Visibility

  • Internal only — can only be booked from the POS
  • Website enabled — can be added to your website for customer self-booking

Publishing an appointment service to your website

To make an appointment service available for customers to book online:

  1. Go to Appointments > Settings > Services

  2. Click the three-dot menu next to the service

  3. Select Add to website

  4. Choose one of the following:

    • Publish page only — creates a booking page with a shareable link
    • Publish and add to menu — creates the page and adds it to your website navigation

Once the page is created, the three-dot menu will update to show:

  • View on website
  • Copy appointment link
  • Add to website menu (if not already added)
  • Switch to internal only

Adding appointment services to your website

Create a dedicated appointment page

  1. Go to Website Manager
  2. Click the + next to Navigation Menu
  3. Select Custom Page, then select Appointments
  4. Enter a name for your page
  5. Under Appointment Services, select the appointment service to display
  6. Click Create Appointment Page

The page is added to your navigation and is ready to customize. You can add sections, images, or text around the appointment service in Website Manager.

Add an appointment service to an existing page

  1. Open the page in Website Manager
  2. Click Add section > Add element > Appointments
  3. Select the appointment service to display

Only appointment services set to Website enabled will appear as options in either flow.

Tips

  • Fill in the Customer instructions field for every service, especially video call appointments — customers need to know how they’ll receive a link
  • Use the Description field to set expectations before a customer books (what to prepare, what to bring, what information to have ready)
  • Duplicate an existing service to create a variation without starting from scratch
  • All appointment services share a single calendar. If a time slot is booked on one service, it won't be available on any other service. If you need to book two appointments at the same time, you can do that manually from your POS calendar.
